Even the best database has some constituents with bad or missing email addresses. Bloomerang automatically skips those constituents when generating your emails. Email recipients whose email address is marked as bad are listed under Skipped Recipients

View Skipped Recipients

To view the skipped recipients and the reason for the skip, click the Skipped Recipientstab. If there are more than 100 skipped recipients, Bloomerang shows only the first 100.

Email Issues

Constituents will be skipped if their email address has any of the following issues:

  • Bad email. The constituent's email address has been flagged as bad.
  • No matching email interests. The constituent has unsubscribed from the template's email interest, or has opted out of all emails.

Merge Field Issues

Confirmation emails on online form submissions are not affected by merge field issues. When generating emails, constituents will be skipped for the following merge field issues:

  • Blank [Merge field name]. The letter or email contains a merge field for which the constituent has no value. For example, you are running a transaction letter with a merge field for Campaign. If a constituent has a transaction with no Campaign, this will cause the constituent to be skipped.

    Note: To generate letters or emails with blank merge fields, go to the Details tab, and check the box under Allow Blank Merge Fields?.

  • Multiple values for [Merge field name]. The letter contains a merge field that has multiple values for a constituent. For example, you are running a transaction letter with a merge field for "Date." If a constituent has more than one transaction, Bloomerang won't know which Date to populate into the merge field.

Handle Skipped Recipients

You can either handle them while generating your email by fixing the email addresses or filtering them out, or you can handle them later by continuing to generate your emails.

Now—Fix Email Issues and Blank Merge Fields

To fix the bad email addresses and then continue generating your emails:

  1. Open Bloomerang in a new tab by right-clicking the Home button and clicking Open Link in a New Tab
  2. Navigate to a skipped recipient's Profile.
    • To update an email address, click the Edit button for the bad email. Update the email and click Save.
    • If the email address is good, contact our Support team to remove the bad email flag. 
    • To update a blank merge field, navigate to the field, update the value, and click Save. For example, if you are running a transaction letter with a merge field for Campaign, navigate to the transaction and select the appropriate Campaign.
  3. Repeat steps for each skipped recipient.
  4. Navigate back to the email template you were working on and click Save and Preview.

Now—Fix Multiple Values for Merge Fields

If a constituent is being skipped because they have multiple values for a merge field, this likely means that they have more than one transaction or interaction that meets the filters. 

For example, if a constituent has two transactions that meet the filters, and the letter has a merge field for Date or Fund. If the two transactions have different dates or funds, the constituent will be listed under Skipped Constituents, and the merge field issue might indicate "Multiple values for Date," or "Multiple values for Fund."

To fix the merge field issue, consider the following options:

  1. Narrow down your filters to isolate the transaction or interaction for which you are generating the email.
  2. If you are in a transaction email, remove the merge field and add a data table instead. Then add the field as a column in the table.

Now—Filter Out Bad Email Addresses

If there are more than 100 skipped recipients, and you'd rather filter out the bad, incomplete, or missing addresses to get to the heart of why constituents are being skipped:

  1. Run a report of bad emails. You can save this report for use with other email templates.
  2. Navigate to the Filter tab of the email template, and exclude the reportfrom the email's filters:
    1. Under Exclude, click Add Filter or OR.
      • If you are in a Transaction or Interaction email, Search for and select Constituent icon in reports Constituent .
      • If you are in a Constituent email, proceed to the next step.
    2. Under Include Click Add Filter.
    3. Click Is In  Report icon in reports a Constituent Report.
    4. Click Select a Report and then your bad email addresses report.
    5. Click OK until you are back on the main page.
  3. Click Save And, then Preview to continue generating the emails. If there are still Skipped Recipients, it should no longer include bad, incomplete, or missing addresses.
  4. Work through any remaining skipped recipients, then click Save and Preview.

Later—Generate the Email

To send the emails and deal with the skipped recipients later, you can continue generating your emails. You can then filter out the constituents for whom you have already generated the email.

  1. Once the address and merge field issues have been fixed, open your email.
  2. In the Filter tab, exclude the constituents who have already received the email. 
    1. Under Exclude, click Add Filter
      • If you are in a Transaction or Interaction email, Search for and select Constituent icon in reports Constituent .
      • If you are in a Constituent email, proceed to the next step.
    2. Under Include Click Add Filter. then search for and select Has Interactions.
    3. Click Interactions, and select Specific Interactions.
    4. Under Include, click Add Filter, then search for and select Subject. Enter the subject of the email, then click OK.
    5. Under Include, click And, then search for and select Date. Enter the date that the email was run, then click OK.
    6. Add more filters as needed to isolate the mailing.
    7. Click OK until you are back on the main page.
  3. Click Save And, then Preview to continue generating the emails.
